The default path: Google Workspace or Microsoft 365 on each domain. It works, and the interfaces are familiar. The cheap path: forward every address into a personal Gmail. The failure mode is replying — you answer support@acme.app from a gmail.com address, or you configure send-as and hope SPF/DKIM line up. Forwarding also breaks DMARC alignment on the forwarded mail. It's fine for catching the occasional message; it's not a setup you can run a product on.

3. One multi-domain workspace

The consolidated path: one account that holds every domain, charges per person rather than per mailbox or per domain, and gives each domain its own sending identity. What to check before you pick a provider

  • Domain limits. How many domains can the plan hold, and is there a per-domain fee? (Zoho's free tier, for example, is limited to a single domain with up to five users.)
  • Pricing unit. Per user, per mailbox, per domain, or flat per person? This determines your bill at domain number five.
  • Storage. Shared across the account, or allocated per mailbox?
  • DNS workflow. Can you add a domain in minutes with records you can copy, or does provisioning wait on a support ticket?
  • Shared access. If a team reads the same addresses, is that built in or bolted on?
  • Per-domain authentication. Does the host generate a DKIM key per domain, or share one across all of them? Shared keys can link your domains' reputations together in spam filters.

The DNS work every domain needs

Regardless of provider, each domain needs its own set of records:

  • MX records point the domain's incoming mail at your host's servers.
  • SPF (a TXT record) lists which servers may send on the domain's behalf.
  • DKIM adds a cryptographic signature proving the message wasn't altered in transit — one key per domain, so a bad reputation on one brand doesn't bleed into another.
  • DMARC tells receiving servers what to do when SPF or DKIM fail, and gets you reporting on who is sending as you.

Reputation is also per-domain: a deliverability problem on one domain shouldn't be allowed to affect the others, which is why each one needs independent records and its own monitoring. New sending domains benefit from a warm-up period before heavy volume.   3. Migrate one domain at a time. Keep the old provider active until inbound and outbound checks pass on the new one, then move to the next domain.
